Follow-Up System Timeline
Apply this sequence to every lead. Build it into your daily routine and never let a lead go cold because you forgot to follow up.
Day 1, Send First Message
Your personalized opening message. Reference something specific about their business. One clear call to action: ask for a 15-minute call. Keep it under 5 sentences.
Day 3, Check-In
Light, non-pushy check-in. "Just making sure this didn't get buried." Restate the value in one sentence. Ask again. This is where most VAs stop, don't stop here.
Day 5, Value Add
Share something genuinely useful, a tip, insight, or resource relevant to their business. This positions you as knowledgeable, not desperate. Follow up with your offer again.
Day 7, Trial Offer or Final Follow-Up
Offer a low-commitment trial task or send a respectful final message. "Last message from me on this, if timing ever changes, I'm here." Some leads convert weeks or months later from this message.
How to Close the Client
When someone responds positively, most VAs get nervous and lose momentum. These three principles will carry you through every close.
Be Confident
You have been trained. You know what you're doing. Confidence is not arrogance, it's assurance. When you sound sure of yourself, clients feel safe trusting you.
Be Clear
State your offer, your rate, and your process clearly. Don't hedge everything. "I charge $X/hour and I can start Monday" is more closing than "maybe around $X, I guess, if that works..."
Offer a Trial If Needed
If a client hesitates, reduce risk by offering a paid or trial task. "Let me do [specific task] this week. If you love it, we continue. If not, no hard feelings." Most clients who do a trial hire you full time.
